This Privacy Policy explains how Hubb Invite collects, uses, stores, and discloses personal information in connection with its Canada-only invitation and RSVP platform.

Overview

Hubb Invite provides tools for event hosts to upload guest information, send invitations by SMS and email, collect RSVP responses, and manage event communications. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy requirements.

This Policy applies to information we collect from hosts who use Hubb Invite, from guests whose information is uploaded by a host, and from visitors who interact with our website or invitation pages.

Information We Collect

Information provided by hosts

  • Account information such as name, email address, and login credentials.
  • Event details such as wedding or event title, dates, venue details, cultural preferences, messaging templates, and uploaded images.
  • Guest-list data uploaded by the host, including names, phone numbers, email addresses, household groupings, event assignments, and similar planning details.

Information collected from guests

  • RSVP responses, meal selections, dietary information, plus-one details, and notes.
  • Interaction data linked to invitation delivery and RSVP activity, such as message status, response timestamps, and invitation link usage.

Technical and service data

  • Device, browser, IP address, log, and diagnostic information used to secure and operate the service.
  • Messaging metadata generated when invitations or reminders are sent through Twilio or SendGrid.

How We Use Information

We use personal information to:

  • Create and manage host accounts.
  • Store guest lists and event details supplied by the host.
  • Send invitations, reminders, Save the Date messages, and RSVP-related communications.
  • Display RSVP pages and process guest responses.
  • Provide support, improve reliability, prevent misuse, and maintain security.
  • Meet legal, compliance, and record-keeping obligations.

Roles and Responsibilities

When a host uploads guest information to Hubb Invite, the host is responsible for ensuring they have the right to provide that information and to send invitations or reminders to those individuals. The host remains responsible for the lawfulness, accuracy, and appropriateness of that guest data.

For guest information provided by a host, Hubb Invite acts primarily as a service provider and data processor on behalf of that host. The host is the organization deciding which guest information is uploaded, which messages are sent, and how long event-related content should be used for the host's event purposes.

For host account information, support interactions, and platform operations, Hubb Invite may act as an organization with its own obligations under PIPEDA.

Sharing and Subprocessors

We do not sell personal information. We share personal information only as needed to operate Hubb Invite, including with the following service providers and subprocessors:

  • Supabase for hosted database and application data storage.
  • Twilio for SMS delivery and related messaging records.
  • SendGrid for email delivery and related email records.
  • Vercel for application hosting, security, and infrastructure services.

These providers may process information outside Canada, including in the United States or other jurisdictions where they operate infrastructure. When we use service providers, we do so for business purposes related to delivering Hubb Invite.

Retention and Deletion

Guest data stored for an event is retained only as long as needed to operate the event and related RSVP workflow. Hubb Invite is designed to automatically delete guest data 30 days after the relevant event date.

Some limited records may remain temporarily in logs, backups, or system archives for security, fraud prevention, legal compliance, or disaster recovery purposes. Host account information may be retained for as long as the account remains active and for a reasonable period afterward where required for legal or operational purposes.

Access, Correction, and Deletion Rights

Subject to applicable law, individuals may request access to personal information we hold about them, request correction of inaccurate information, or request deletion where appropriate.

Because Hubb Invite often processes guest information on behalf of a host, guests may need to contact the relevant host first so that the host can verify and direct the request. We may also work directly with the requester where appropriate.
